Submission Guidelines

Everything an author needs before opening the submission form: the length policy, the content of the manuscript, the information the form asks for, and the rules on authors, presenting author and presentation preference.

Length and format

A contributed paper is an extended scientific contribution of two to four pages, not a bare abstract. Authors choose the length that fits the work; two pages and four pages are judged on the same criteria. Invited contributions are at least one page. No manuscript may exceed four pages.

Abstract: 50 words at most, no symbols

The Word file is a working template, never an accepted upload. Export the finished manuscript as PDF with fonts embedded, which both Word and LaTeX do by default.

What the manuscript contains

an abstract of no more than 50 words, without symbols or mathematics;
the motivation and the scientific context;
the principal methods;
the main results, quantified where possible;
figures and references where appropriate;
enough technical information for the committee to assess the contribution.

Work that sits at any point between theory and deployment is welcome: an analytical result, a numerical method, a measurement, a device, an instrument or a system are assessed with the same four criteria.

What the submission form asks for

Have the following ready; the portal checks it before accepting a submission.

the research track, symposium or special session the paper belongs to;
a title and an abstract identical to the manuscript, the abstract in plain text of at most 50 words;
every author of the manuscript, in the order printed on the PDF, with the correct spelling and accents;
each author’s principal institution only, not the department or the postal address;
the author who will actually present, who may not be the person submitting;
your preferred presentation format;
the manuscript as one PDF;
a confirmation that the work is original and that every author approved the submission.

Authors and presenting author

Names and institutions are printed in the programme and the proceedings exactly as entered. The author list and its order are fixed at submission. If a paper is submitted with an incomplete list, or in a different order from the PDF, submit a corrected new record and write to the organisers to have the original removed; entries are not edited silently after submission.

The presenting author is the person who will give the talk or stand by the poster. The programme is scheduled around that person. A co-author may be designated as presenting author; the person submitting need not be.

Oral or poster preference

You may state a preference for an oral or a poster presentation. The preference cannot be guaranteed and may be communicated separately from the acceptance: a first message says whether the paper is accepted, and the presentation format follows when the programme is drafted. Assignment reflects scientific content, thematic fit, programme balance, diversity and the time available, and is not a ranking of scientific quality.

Invited presentations are limited to one per presenting author; the limit applies to the presenter, not to co-authors or submitters. If you already hold an invited presentation, consider choosing poster for a second paper so that more participants can present in the contributed oral programme.

Invited contributions

Invited speakers of symposia, special sessions and the plenary programme submit a contribution of at least one page, with the same template, through the same portal and by the same deadline. An invitation does not replace submission: every presentation in the programme has a contribution in the proceedings.

After submission

The paper submitted for review is the contribution published in the proceedings. There is no camera-ready stage and no separate final-paper submission. Authors are notified on 3 February 2027; at least one author then registers and presents the paper in Athens.
