You can submit a paper before registering: the call for papers is open, and registration follows the notification of acceptance on 3 February 2027.

Fees

Four categories, three periods. The period is set by the date the payment is completed.

Presenting authors complete their registration and payment by 19 February 2027 so that their contributions can be scheduled in the programme. Late and on-site registration is intended for participants who do not present a paper. Whether the amounts include VAT is stated when the tax treatment is confirmed; the amounts above are the registration fees as set by the organisers.

What a registration includes

A full registration (Regular, Student, Industry) includes admission to all scientific sessions and tutorials, the coffee breaks and the lunches on the conference days, the exhibition, and electronic access to the programme and the proceedings.

The conference dinner is not included. Its format, its availability and its price are to be announced.

An accompanying-person registration gives access to the exhibition, the coffee breaks and the lunches; it does not give access to the scientific sessions.

Who can register

Regular

Researchers and professionals from universities, laboratories and industry, including invited speakers, session organisers and session chairs.

Student

Students, with proof of status from their institution.

Industry, not presenting a paper

Participants from companies who attend without presenting a contribution.

Accompanying person

A family member of a registered participant who is not a co-author of any contribution; purchased together with a full registration.

Author registration policy

At least one author of each accepted paper must register and present it. One paid registration may cover a maximum of two accepted papers for which the registrant is a co-author, whether they are presented orally or as posters. Only accepted papers that are registered and presented are scheduled in the programme and included in the proceedings; the registration covering a paper is paid by 19 February 2027.

Invited speakers and organisers

Invited speakers, symposium chairs, special-session organisers and session chairs register and pay the fee of their category like every participant. An invitation carries no automatic fee waiver and no reimbursement of travel or accommodation. An individual arrangement exists only if the organisers have confirmed it in writing.

Cancellation and substitution

Cancellations are sent in writing to contact@aesconference.org. Requests received by 12 February 2027 are refunded less a €65 administrative charge. After 12 February 2027, registration fees are not refundable.

A registered participant who can no longer attend may nominate a substitute to attend in their place, at no additional charge, by written request to the organisers.

Visa refusal

A participant whose visa is refused should send the refusal notice to the organisers as soon as it is received. Requests received by 12 February 2027 follow the cancellation terms above; later cases are examined individually. Apply for a visa early, before making non-refundable travel arrangements.

Visa and invitation letters

Payment, invoices and invitation letters

The payment method, the invoicing entity, the applicable taxes and the invoice and receipt procedure are published when registration opens. No payment is requested before that, and the organisers never ask for card details by email.
