Registration Fees & Payment
Registration Overview
Each presenting author must complete a paid registration. A registration covers a maximum of two papers (of which the registrant is co-author) in either oral or poster sessions. At least one author or qualified substitute must present. Only registered and paid papers will be scheduled in the conference program and proceedings. Registration is valid only when the payment is received and processed.
Registration Fees
Registration includes admission to all AES technical sessions and tutorials, lunches (first 3 days), exhibit and break areas, and an electronic copy of the program and proceedings. Tutorials are provided free of charge to all registered attendees.

1 On-site fee is for non-presenting participants only (unless prior arrangements have been made with the organizers). Authors need to complete their registration and pay fees by 30 April 2026. Late payment may result in the abstract not being included in the conference program and any other publications printed for distribution.
2 Student ID or a valid certificate will be verified on-site by the conference staff.
3 Accompanying person registration must be purchased with a standard registration and is limited to a non co-author family member of the primary registered person. Includes access to exhibits, coffee/tea breaks and lunches.

4 Subject to availability: limited tickets are available on a first-come-first-served basis.
Registration and Payment
Available payment methods: Credit card and Bank Transfer*. Payment by credit card is preferred and highly recommended (no handling fees and the registration can be confirmed immediately).
- *To obtain an invoice and the bank account details, please complete the pre-registration form below.
- *For bank transfer payments, a fixed €30 bank-transfer handling fee is automatically added to the invoice total to cover bank processing charges. Bank wire transfer and related fees must be paid by the registrant (please ensure we receive the full invoiced amount).
Visa / Invitation Letters: If you require a visa invitation letter, please request it during the registration process (PDF by email; additional options may be available upon request).

Payment Notes
Credit card is recommended for immediate confirmation.
Cancellation & Refund
Refunds less a €65 administrative fee will be given for cancellations received in writing to to contact@aesconference.org prior to April 17, 2026. Following this date, no refunds will be given; you may send an alternate to the event without additional charge.
Photography & Videography
Professional photography will take place during the event. By partaking in the event you are consenting for the organizer to use the images for publicity usage such as website, media and publication purposes.
Code of Conduct & Safety
AES is committed to providing a safe, respectful, and inclusive environment for all participants. Harassment, discrimination, or disruptive behavior is not tolerated.
If you experience or witness unacceptable behavior, please contact the conference organizers or the on-site registration desk immediately. Reports will be handled promptly and confidentially where possible.
