Submission Preparation Checklist
Paper Submission Guidelines
For invited speakers: You must submit a 1-page or longer summary (official template) by the abstract submission deadline. Uploading a full paper (optional) is not required, but you may submit one at any time up to 15 May.
For all authors: Submissions must include a paper of at least 2 pages (official template) by the submission deadline. If accepted, authors may optionally upload a full paper up to 15 May.
Proceedings policy: If a full paper is uploaded by 15 May, it will be included in the proceedings. Otherwise, the proceedings will include the submitted summary / short paper (the latest version uploaded).
Note: The Technical Program Committee and reviewers will rigorously screen for plagiarism and duplicate submissions.
Submission Requirements:
- The submission file must be in PDF format
- The text must adhere to the stylistic and formatting requirements outlined in the Conference Template
- A 50-word abstract must be included within the paper

By submitting to the AES Conference, authors agree to the following terms regarding their submitted work:
Terms of Submission
- Authors retain full copyright of their work while allowing AES to make the paper available under a Creative Commons Attribution License. This license permits others to access, share, and use the work with proper acknowledgment of the authors and the conference presentation.
- Authors may choose to waive the CC license and enter into additional agreements for non-exclusive distribution (e.g., revising for journal publication, uploading to institutional repositories, or publishing in a book) provided that they acknowledge the work’s initial presentation at AES.
- Authors are encouraged to share and promote their work online (e.g., institutional repositories, personal websites) before and after the conference.
Why This Matters
This approach ensures that authors maintain ownership and control over their research while enabling the AES community to access, cite, and build upon their contributions.
